good day coffee, calm day admin.
A growing North Wales café group with around 30 staff, seven days a week. We built the website, an owner portal and a staff app to replace WhatsApp groups, paper and spreadsheets.

three sites, one owner, a lot of whatsapp.
Rotas, swaps, stock, wastage, temperature logs and HR all ran through group chats and paper. The owner was the switchboard for all of it.
01Rotas, swaps and time off ran through WhatsApp groups.
Rotas built from templates and published to a staff app. Like-for-like swaps approve themselves.
02Temperature logs and opening checklists on paper.
Checklists in the app, with each temperature logged against its task.
03Stock counted on paper, and low stock spotted too late.
Counts logged on the floor. Every item shows ok, low or critical against its threshold.
04Handovers by word of mouth between shifts.
Handover notes in the app, on the dashboard for the next shift.
05Hiring through inboxes and paper CVs.
Adverts go from the portal to the website. Applications and CVs land back in the portal, with automatic emails at each stage.
06The owner was the switchboard for three cafés.
One owner portal across every site, with managers boxed to their own shop.

The jobs that no longer need a person to remember them. Every box is real: what triggers it, the rules it runs through, where someone steps in, and what comes out.
like-for-like swaps between the same job role go straight through. anything else waits for a manager.
one advert, written once in the portal. applications come back to the same place, and candidates hear back automatically.
